Job Summary:
As a surgery scheduler, your primary responsibility is to coordinate and
schedule surgical procedures for the retinal ophthalmologists of this
practice. Working closely with the ophthalmologists, facility schedulers,
primary care physicians, patients and the staff.
1. Insurance:
Verify with Surgery Benefits Coordinator about patient insurance,
referrals, authorizations and available surgery centers/hospitals.
2. Surgery Scheduling:
Contact patient to schedule a surgery date. The patient will be sent
written instructions with the surgery date, NPO requirements,
medication requirements, a Day 1 post op appointment and a map
for the facility the day of surgery.
3. Review of Health / Medical Clearances:
Checking health, surgeries, allergies and medications, and if
necessary, getting PCP/Speciality names and contacts to request
medical clearances for patient. Medical clearances are to be sent with
orders to facility.
4. Speciality Cases:
Specific surgeries require additional measurements; this will require
collecting that information from a previous surgeon or coordinating the
measurements with a surgeon, prior to surgery.
5. Pre-op Injections / Exams:
Schedulers will make note of pre-op injections to be scheduled
5-7 days prior to the surgery date. Pre-op visits are scheduled at the
time of scheduling surgery. Pre-op exams are scheduled for anytime
prior to the planned surgery date.
Surgery Scheduling continued:
6. Surgical Documentation:
Completing all the required documents for the surgery at the facility
scheduled. Uploading and updating the electronic medical record with
all documents associated with surgery. Sending required documents
out to facilities in the a lotted time frame prior to surgery, including
scheduling anesthesia for facilities without in-house anesthesia.
7. Communicating:
Communicating with the surgeons, staff and facility, including updating
the electronic medical records scheduler and the appointment
scheduler, about the current surgery schedule and/or changes to the
surgery schedule. Communicate with Admins with surgery block
changes, blocking schedules and any needs concerning surgery and
the surgery schedule.
8. Co-managed Surgeries:
Communicate with the scheduler for the combo case ophthalmologist to
schedule a date for the combo surgery.
9. Weekends:
Take calls, texts, or emails from doctors about patients seen over the
weekend requiring immediate surgery scheduling.
Skills Required:
- Basis understanding of electronic medical record systems and practice
scheduler systems.
- Understanding health and medications.
- History of working closely with doctors and surgery schedules.
- Must be organized in thought and practice.
