Services Assistant Job Description and Position Summary: We are seeking an experienced and highly organized Services Assistant to support senior leadership and multiple teams across the organization. This role independently manages complex administrative functions and plays a key part in ensuring efficient daily operations and successful cross-functional collaboration.Key Responsibilities: Provide high-level administrative support to senior leaders and cross-functional teams.Coordinate team activities by aligning schedules, priorities, and communications to ensure seamless collaboration.Manage office administration tasks including ordering IT equipment and supplies, scheduling interviews, and maintaining records in compliance with retention guidelines.Prepare and reconcile detailed expense reports, credit card statements, and departmental invoices.Develop and implement process improvements to enhance administrative efficiency and workflow.Prepare reports, presentations, and documents with minimal supervision while anticipating team needs.Serve as a primary point of contact for internal and external stakeholders, managing professional relationships effectively.Oversee departmental subscriptions, memberships, and online service accounts.Required Qualifications: High school diploma or GED.Minimum of seven (7) years of administrative assistant experience.Advanced proficiency in Microsoft Office Suite, including Outlook, Teams, Word, Excel, Visio, PowerPoint, SharePoint, and OneNote.Preferred QualificationsAssociate’s degree or higher.Certified Administrative Assistant (CAA) or Certified Administrative Professional (CAP) designation.Experience coordinating or managing large-scale events.
